Title: Director of Operations
Reports To: Chief Operating Officer
Job Purpose: Oversees and supports all client service aspects of our business. Enhance our image by ensuring our clients receive the highest level of satisfaction through quality service and courteous behavior. Maintain positive client relationships by meeting client expectations through pre & post-delivery issues that may arise. Interact with our clients to provide information in response to inquiries about products or services and to handle and resolve complaints. Supports and maintains operational aspects of retail store per Store Operations Resource Guide. Manage daily operations regarding sales processing in accordance with company sales order guidelines, inventory control, cycle counts and price updates. Coordinate the day to day tasks of order processing, purchase orders and administrative office duties. Responsible for training the Sales support managers company wide. Train staff on all computer systems and maintain training manuals.
Responsibilities: Based in Hasbrouck Heights, must travel to all locations.
Support Functions: Provide constructive feedback to Sales Managers for conducting performance evaluations for Sales support managers. -Review store schedules. Maintain store budgets and zero overtime. -Keep claims up to date. -Manage supply ordering process. -Control expenses: supply ordering. Educate team on reducing financing costs. -Developmental training of associates is ongoing in sales training, customer service, administrative/operational tasks, computers and product knowledge. -Ensure our customers receive a superior level of service from Sales support teams company wide. -Monthly auditing of Sales Procedures.
Training -Develop and maintain all company training manuals and standard operating procedures. -Build a trained and disciplined team of customer focused individuals. -Seek out training opportunities. Tie all opportunities to inputs. Change the process to change the results. -Train new employees on all computer systems and standard operating procedures. -Order Management -Daily check un-attached orders and P.O.’s -Oversee order changes and cancellations to assure proper inventory control. -Make sure all open orders are correct -Review daily audit reports and sales changes. Daily inspection of sales edit list and operations managers checklists. Review deposit slips, cash drawer and support function inputs. -Keep available inventory less than 60 pieces. -Cross dock review and weekly operations scoreboards. -Run AR daily and maintain at a critical number of 0. -Train all staff on policies and procedures and hold accountable.
Inventory -Develop semi-annual inventory procedures -Responsible for semi-annual inventory with visual team -Audit receiving and transfer documentation -Maintain specific control and reduction of inventory in the following categories: 6 month aged 9 month aged. -Develop and foster partnership with Visual team to mark down aged accessories inventory. -Review store inventory in clearance and loading dock.
Specific Skills: • Ability to supervise and train staff, including organizing, prioritizing, disciplining, developing, motivating, and scheduling work assignments • Ability to establish, develop and maintain efficient office work flow • Skill in the use of personal computers and related software applications • Knowledge of laws, regulations, methods, and techniques in Job Description • Excellent people skills—Must really enjoy helping and servicing people • Wear presentable work attire while maintaining a neat and clean appearance • Must work extremely well in a team environment • Possess strong communication skills both written and oral
